Event & Production Booking Policy.

 

Event and production bookings hold a specific date and are handled differently from individual rentals. This page covers both. Our general Rental Terms also apply, and every booking is governed by our full Rental Agreement and the relevant addendum, which you will receive and sign before machines are released.

Events

Weddings, receptions, parties, corporate functions, and pop-ups.

What a package includes

Each event package covers one restored and tested machine, a fresh ribbon and paper for the event, delivery and on-site setup, next-day retrieval within 20 miles of Eureka, and a printed instruction card for the table.

Event packages

  • Standard package — $150 per machine

  • Premier package (1930s–40s machines) — $185 per machine

  • Additional machine, same event — $60

  • Client pickup instead of delivery — $55 less

  • Attended service, up to 2 hours — $150

  • Travel beyond 20 miles of Eureka — quoted

Theater, student, and non-profit community productions are eligible for reduced or waived rates. Please get in touch — we work with local companies on rates that fit their budgets.

Booking and payment

A 50% retainer is due when you book. This holds your date, takes the machine out of availability, and covers the scheduling and preparation work we do in advance. The retainer is non-refundable and is credited toward your total.

The balance is due 14 days before your event.

The security deposit is taken on your event date, at or shortly before delivery — not when you book. It is released or refunded within 48 hours of return.

If you need to cancel

All cancellations must be in writing by email.

  • More than 60 days before — retainer retained, anything paid above it refunded

  • 30 to 60 days before — retainer retained, balance refunded if paid

  • 14 to 29 days before — retainer retained, half the balance refunded

  • Fewer than 14 days before — full package fee retained

Because the deposit isn't taken until your event date, nothing is held or charged on a cancelled booking.

If you need to move your date

Things change. If you let us know in writing more than 30 days before your event, we will move your retainer and anything you have paid to a new date within 12 months, subject to availability, at no charge. One free transfer per booking.

If your event can't go ahead because of something genuinely outside anyone's control — a disaster, an emergency, a public health order — we will move everything you have paid to a new date within 12 months. If no date works, we refund everything except the retainer.

If we have to cancel, you get everything back, retainer included.

On the day

A few things we ask, to keep the machine safe among a crowd:

•      Name a responsible adult, 18 or older, who will be present the whole time the machine is there

•      Place it on a stable, level table that isn't going to get bumped

•      Keep it at least six feet from the bar or any drink station

•      No drinks, glassware, candles, or open flame on or beside it

•      Leave our instruction card on the table

•      Don't leave it out and accessible overnight — bring it indoors if we're collecting the next day

Outdoors is possible with some care. The machine needs to be under a solid roof, tent, or cover, out of rain, mist, sprinklers, and direct sun, and brought inside immediately if the weather turns. It cannot stay outside overnight. Please let us know in advance if you're planning outdoor placement — coastal fog is a real consideration here and we'll help you plan around it.

You remain responsible for the machine, including anything a guest, vendor, or venue staff member does to it.

Photographs

We may photograph the machine as set up, before guests arrive, for our own portfolio. We never photograph guests. If you'd rather we didn't, just say so before your event date — there's no charge and no hard feelings.

Productions

Film, television, commercial, documentary, and theater.

We may update these terms. Changes take effect when posted, and the date at the top will tell you when that was.

Production rates, per machine

  • 1930s–1940s machines — $200/day, $600/week, $500 per additional week

  • 1950s machines — $165/day, $495/week, $400 per additional week

  • 1960s machines — $150/day, $450/week, $365 per additional week

A week is billed at three times the day rate, per industry convention. Multi-machine packages, period sets, and long-run continuity holds are quoted individually. Rush fulfillment, on-set standby, and delivery beyond 20 miles of Eureka are available at additional cost.

Machines held for continuity are billed for the full hold period whether or not they're used on a given day.

How we work

We invoice on net-30 terms and provide a W-9 on request. We may ask for prepayment or a deposit from a first-time client, an individual filmmaker, or an unincorporated production.

Insurance

We need a certificate of insurance at least 48 hours before machines are released, showing:

•      Commercial general liability of at least $1,000,000 per occurrence and aggregate, naming Analog Pursuit LLC as additional insured

•      Rented or miscellaneous equipment coverage at not less than the machines' declared replacement value or fair market value, naming Analog Pursuit LLC as loss payee

•      A waiver of subrogation in our favor

•      Coverage that is primary and non-contributory

•      Analog Pursuit LLC, Eureka, California as certificate holder

With a compliant certificate, no security deposit is required. Any deductible or self-insured retention is the production's responsibility.

What you can and can't do with the machines

Cast and crew may handle the machines in the ordinary course of production. The production remains responsible for their acts.

Without our written consent, machines may not be aged, distressed, weathered, painted, dulled, or otherwise altered; dressed with dust, dirt, cobwebbing, adhesives, tape, or labels; disassembled or modified; exposed to water, smoke, atmospheric effects, or pyrotechnics; or used in any stunt, throwing, dropping, or destruction sequence.

Where we do consent to aging or dressing, a restoration fee is quoted in advance and invoiced with the rental.

We don't rent for destruction. No machine may be destroyed or damaged on camera.

Cancellation and postponement

  • More than 7 days before the rental start — no charge

  • 2 to 7 days before — 25% of the booked fee

  • Fewer than 2 days before, or after machines are staged — 50% of the booked fee

  • After delivery — full booked fee

Postponement is usually better than cancellation, and we'd rather work with you. Tell us in writing more than two days out and we'll move the booking to new dates within six months, subject to availability, at no charge. One free transfer per booking.

Later than that, or after machines are staged, we can still move it — we may invoice 25% to cover preparation already done, and that amount is credited against the rescheduled booking.

Liability

We can't be responsible for lost shoot days, production delay, reshoot costs, crew or talent costs, or the cost of sourcing substitute property. These are antique machines and they can fail without warning. If a shoot depends on one working, book a backup.

Credit

If your production credits vendors, we'd appreciate "Typewriters provided by Analog Pursuit, Eureka, CA." It's a courtesy, not a condition.
